How to Track Requests and Access Ministry Response Letters in SADIE

Narrator: This video shows how to track the status of your EAP requests online and access the Ministry response letters in SADIE, the Special Authorization Digital Information Exchange. All persons in this demonstration are fictional. 

Select the Menu and then click on the View Submitted link. The Submitted Requests screen displays the Submitted Requests Awaiting Ministry Decision list and theSubmitted Requests with Ministry Decision list.

Prescribers, delegates, and designates (with access to specific practice locations) canview these lists of requests that have been submitted to the EAP through any method, including SADIE, TRS, Fax, and Mail.

The requests awaiting a decision have been submitted to EAP and they are awaiting a response from the Ministry.

The requests with a Ministry decision have been assessed and includes their decisions and response letters.

Designates can also view the same lists and they can track EAP submissions for practice locations for which they have been provided access. 

In the Awaiting Ministry Decision list, prescribers, delegates, and designates with access to the practice location can view a request that has been submitted to EAP that is pending a decision; the assessment outcome is still not final. 

Users with access to the practice location can see the current state of the request and access the PDF of the “Initial” request that was submitted by the prescriber or their delegates.

You can search for a request and narrow down your list of requests awaiting a Ministry decision by using the Filter field by typing any piece of information found in thecolumns. The results filter as you type.

To clear the filter, click the x  on the right of the Filter field.

You can sort the requests in ascending or descending order by clicking the header at the top of each column to sort by the data in that column.  

Tabs for all practice locations appear below the Filter field and indicate the requests pending decisions for each practice location. Prescribers assign practice locations to designates.  Selecting an individual practice location tab filters the list to display only the requests pending decisions for that location.

Note that designates will only see tabs for practice locations to which they have beenassigned.

Select the All tab to search for requests pending decisions that are assigned to any of your practice locations. 

To view details for a Submitted Request, select the View button. The system displays the Submission Details and related Correspondence Exchanged with the Ministry. Note that it can take one to two minutes for the submitted request to appear in the list if it was submitted very recently.

The Submission Details section displays information such as the Practice Location for the request, the Patient Name, the EAP Request Number, the Request Type, Initial vs. Renewal, and the Drug and Indication.

In the Correspondence Exchanged With the Ministry section, the date the document was received or sent displays in the Document Date column, and the Document Type indicates either an Initial Request, Additional Information, or Response Letter.

The Decision column shows the Assessment outcome if available, for example, Approved, Not Approved, and Further Information Required. Depending on the request, the Actions column may be blank or a Download button may be available.

To View the Correspondence, Select the Download button. Documents that have been downloaded are automatically saved to your computer and can be found in your Downloads folder. 

Click on the PDF file to view the document, in this case the request for additional information, which opens in a separate window.

Select the Menu and then click on View Submitted to return to the Submitted Requests screen.

The Submitted Requests With Ministry Decision list is the area where prescribers, delegates, and designates with access to the practice location can view Ministry decisions where an assessment outcome has been made.

Users can see submission details and related correspondence, as well as decisions for requests submitted by prescribers and their delegates.

Searching for and sorting requests works the same way in this list as it does for the list above.

To view the details for a submitted request with a Ministry decision, select the View button. The Submission Details and Correspondence Exchanged with the Ministrydisplay for the request.
